Regular PI Account Review Meetings: A Best Practice for Strong Grant Management
Regular communication with your CGS Post-Award contact is an important part of effective sponsored project management. Principal investigators (PIs), and business officers, are encouraged to meet with their CGS Post-Award contact at least quarterly via Teams or Zoom, with increased attention as a project approaches closeout. During these Account Review Meetings, the PI, business officer and CGS staff review sponsored project accounts together, including effort allocations, non-payroll expenditures, remaining balances, missing or expected expenses and outstanding action items. These conversations give PIs and business officers an opportunity to ask questions, address concerns early and ensure CGS has the information needed to accurately support the award. Email updates will be used between virtual meetings, but timely responses to questions and completion of action items are essential. Regular account review is part of the overall reconciliation process, supports UK’s internal control structure and strengthens compliance and grant management.
