Updated VPR Late Policy for All Submissions Due on or After March 1, 2026

January 28, 2026: Beginning with proposal submissions due on or after March 1, 2026, UK will implement updated internal deadlines outlined in the Vice President for Research (VPR) Late Policy. Internal deadlines: 6 business days(administrative + draft science) and 4 business days (final science)before the sponsor deadline.

These changes are designed to support timely, accurate and compliant submissions by strengthening coordination between PIs, CGS and OSPA. 

To meet institutional review requirements, PIs will now follow two key internal deadlines when working with CGS.

Six business days before the sponsor deadline (by 9 a.m.), PIs must submit:

  • Final administrative documents (e.g., biosketches, current/pending support, budget materials, facilities & resources)
  • Draft scientific documents, which describe the research’s goals, methods and analysis

This early deadline gives CGS the time needed to assemble the proposal, conduct compliance checks and coordinate with OSPA if issues arise.

Four business days before the sponsor deadline (by 9 a.m.), PIs must submit final scientific documents. CGS will use these materials to finalize a complete, submission-ready package that meets OSPA’s required 3-business-day institutional review timeline. 

These updates enhance proposal quality, reduce last-minute risks and ensure consistent support for faculty across the university. By following these deadlines, PIs help CGS and OSPA maintain accuracy, compliance and timely submissions.
